Procedure for Submitting a Project Application

The first step in the process of implementing any project at the Faculty of Education, Palacký University Olomouc, is the submission of a Project Proposal. The form is completed electronically and is available on the UP Portal under the tile ELF / Forms.

What you Complete in the Project Proposal

The Project Proposal serves both to define the basic framework of the planned project (in particular its content, scope, focus, budget, and staffing) and to record project activities at the faculty and support their effective management. Once you submit the Project Proposal, the relevant project officer responsible for the given area is notified and carries out an initial review. The officer may return the Project Proposal with a request for additional information, or the required details may be completed in cooperation with you.. 


Who Assesses the Project Proposal 

As part of the approval process, the Head of the relevant department or institute provides a statement assessing the alignment of the Project Proposal with the strategic direction of the unit, its capacity, and the involvement of specific staff members. Subsequently, the Project Proposal is reviewed by members of the Faculty management (the Vice-Dean responsible for the given agenda and the Faculty Budget Manager). At this stage, both the academic/content aspects of the project proposal and any potential co-financing are assessed. Final approval of the Project Proposal is granted by the Dean of the Faculty. 


Preparation and Signature of the Project Application

Once the Project Proposal has been approved, the applicant/project leader may proceed with the preparation of the full project application, in accordance with the rules and requirements of the relevant funding provider. Applications for most grants and funding schemes are submitted on behalf of Palacký University Olomouc and must therefore be signed by the statutory representative of the University – the Rector. At the faculty level, this step is preceded by the required approval of the Dean and the Faculty Budget Manager. At Palacký University Olomouc, this approval is currently granted through the signature of the Project Signature Request Form, which is prepared for you by the relevant project officer. 


Recommendations

  • Consultation at an Early Stage: We recommend consulting your project idea with the Head of your department as soon as you begin considering the submission of a project proposal.  
  • Support During Preparation: During the preparation phase, the project proposal can also be discussed with the responsible project officer of the relevant department, who will provide methodological support. 
  • Submission of the Project Proposal: We recommend submitting the Project Proposal well in advance so that, after its approval by the Dean, the project leader has sufficient time to prepare a high-quality project application. 
  • Project Application Including a Contract: If the project application also includes the submission of a contract (e.g. a consortium agreement or a cooperation agreement with other partners), it is recommended to submit a draft of this contract to the relevant officer no later than three weeks before the planned submission of the project application. This deadline is set in order to allow for the contract to be reviewed by the Legal Department of Palacký University.
